How to change a variant on a Shopify order

Why variant swaps are worth getting right

"Can I change this to a medium?" is one of the most common requests after checkout, especially for apparel, shoes, and anything with a fit. The alternative is cancelling and asking the customer to reorder. That means a refund, a second checkout, and a real chance the customer doesn't come back.

A swap keeps the original order, the original payment, and the sale.

How to change a variant in Shopify admin

For an unfulfilled order:

  1. From your Shopify admin, go to Orders and open the order.
  2. Click Edit.
  3. On the original item, reduce the quantity or remove it, and choose whether to restock it.
  4. Click Add product, search for the same product, and select the new variant.
  5. Review the summary, including any change to the total.
  6. Choose whether to notify the customer, then click Update order.

If only part of the order has been fulfilled, you can still edit the unfulfilled items. Anything already fulfilled is locked.

Handling price differences

Variants don't always cost the same. A larger size or a premium color may be priced higher.

SwapWhat happens to the totalWhat to do
Same priceNo changeNothing further needed
More expensive variantBalance dueSend the customer an invoice and hold fulfillment until it's paid
Cheaper variantAmount owed to the customerRefund the difference from the order

Decide in advance whether you'll allow swaps to more expensive variants, and whether you'll hold the order until the balance is paid. Otherwise the order can ship with money still owed.

Inventory and restocking

When you remove the original variant, Shopify asks whether to restock it. Restock it if it hasn't left the shelf, so it's available to sell again. Also check the new variant is in stock before promising the swap, because the edit can reserve inventory you don't have.

Taxes and discounts

Editing an order can recalculate tax, which may change the total slightly even on a like-for-like swap. If the original order used a discount, check that it still applies correctly to the new line after the edit.

Small total changes on a straightforward swap can confuse customers, so mention them in your confirmation if they happen.

Let customers swap variants themselves

Customers can't change a variant on their own in Shopify. They have to email you, and the swap has to happen before the order is picked. A self-serve editing app lets customers make the swap from the order status page or confirmation email.

Set a few rules so swaps stay safe:

  • Same product only, so a swap doesn't become a different purchase.
  • In-stock variants only, so customers can't swap to something you can't ship.
  • Price rules, such as same-price swaps only, or collecting the difference at the time of the swap.
  • Exclusions for final-sale, personalized, or made-to-order items.
  • A cutoff that closes before orders are picked. See How long should customers have to change their order?

Questions

Can I change a variant on an order that's already fulfilled?

No. Fulfilled items can't be edited. Once an item ships, a size change is an exchange or a return.

Can customers change the size on their Shopify order themselves?

Not by default. Shopify's order editing is a merchant tool, so customers have to contact you. A self-serve order editing app adds this within the rules you set.

What if the new variant costs more?

Send the customer an invoice for the difference from the edited order, and hold fulfillment until it's paid. Some editing apps collect the difference during the swap.

Does changing a variant affect inventory?

Yes. Restock the original variant when you remove it, and make sure the new variant is in stock before confirming the swap.

Why did the order total change on a same-price swap?

Editing an order can recalculate tax, and discounts may apply differently to the new line. Check the summary before you save the edit.
